NRT is currently looking for an Office Administrative Clerk/AP Clerk to join the team.
This position is a blend of the administrative needs of an office with finance responsibilities. In this role, you will be responsible for the organization of the reception area, conference rooms and all common areas. You will answer multi-line phone system and act as a liaison between internal and external customers, both on the phone as well as in person. You will assist with various AP and transactional data entry while providing administrative support to other departments.
If you have these qualifications, knowledge, skills, and abilities . . .
- High school diploma or GED equivalent required; associate degree preferred
- Three (3) years’ experience in an Accounts Payable role or other administrative/accounting role
- Experience operating a switchboard/telephone console of 10 lines or more
- Previous accounting or accounting software experience
- Experience working with Microsoft Office required; Excel proficiency at an intermediate level
- Possess strong attention to detail, accuracy, and meeting deadlines skills
- Must be a clear, concise communicator both verbally and in writing
- Outstanding teamwork skills
- Maintaining a cheerful disposition in a fast-paced environment and enjoy opportunities to interact with team members, clients, callers, and other visitors.
And can handle these responsibilities . . .
- Answering telephone calls and giving information to callers, taking messages and transferring calls to appropriate individuals
- Sorting and distributing incoming mail or other materials and answering routine letters including processing and mailing vendor payments
- Preparing agendas and making office arrangements, preparing for internal and external meetings or events
- Coordinating catering for luncheons, including set up and tear down
- Assisting with recording, storing, and analyzing accounts payable, inventory and ‘project’ cost information
- Setting up new vendor accounts, receiving and issuing inventory items and setting up new project numbers into the accounting system
- Matching vendor invoices to approved Purchase Order and Packing slips and performing data entry of invoices into the accounting system. Auditing vendor invoices while ensuring that invoices are both reasonable and accurate
- Working with vendors to obtain all invoices timely and within the proper fiscal month
- Responding appropriately to requests for accounting information from internal and external customers, such as team members, financial auditors, bank and regulatory auditors
- Assisting in preparing outgoing freight documentation such as BOLs and FedEx labels
- Providing administrative support to other departments, as necessary
- Preparing Executive and other leadership position expense reports using SAP Concur
- Ordering office supplies, marketing materials and cleaning supplies
- Setting up and manage filing systems, recording information, updating paperwork, and maintaining documents
